Office Manager

The Office Manager will organize and coordinate office administration and procedures in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, and systems.

Additionally, we’re looking for an IT help desk guru to provide internal support for employees and contractors. Candidates should have a mix of technical and customer service skills and be passionate about technology and helping people. We support both Macs and PCs, printers, faxes, copiers, etc.

The Office Manager:

  • Enthusiastically greeting all visitors and routing them to their proper destination.
  • Working with the CEO, COO, and Management staff as needed to further the organization and its work and mission.
  • Sorting of incoming mail, post mail every evening, and the routing of checks in accordance with GHHI internal controls.
  • Clerical duties include preparing correspondence and client information packages.
  • Proficient in multi-tasking and effective communication with internal and external clients.
  • Manages the organization’s general email inbox, submissions from our website and routes them to appropriate staff for response and action.
  • Provide support to the intake and data administration teams as needed.
  • Compiles data from sources such as purchase orders, invoices, requisitions, and accounting reports and maintains inventory, purchasing, shipping, or other key records.
  • Conducts cycle counts regularly and assists in physical inventories. Coordinate overages and shortages of inventory with the Leadership team.
  • Demonstrate complete commitment to a culture of safety. Promote a safe work environment through personal actions and identifying any safety concerns.
  • Maintaining inventory records, maintenance of necessary supplies to meet program demands, and materials record keeping.
  • Take initiative to continually improve performance and work processes through feedback, problem-solving, and generating new ideas.
  • Work with a sense of urgency to complete tasks safely, effectively, and efficiently.
  • Demonstrate excellent job performance in productivity, quality, safety, respect for co-workers, and attendance
  • Maintain a positive working atmosphere with all departments in order to keep group efforts focused on the mission of the organization. This also includes promoting appropriate work behaviors and attitudes and mutual respect with GHHI staff and clients.
  • Assist with outreach projects and participate in community outreach events on an as-needed basis.
  • All other activities to support the GHHI’s mission, staff, and related programs, goals, and client services as assigned.

Help Desk:

  • Handle Tier 1 help desk escalations through tickets or phone
  • Follow up on outstanding requests and ensure timely resolution
  • Create accounts and configure hardware as part of onboarding process
  • Support audio and video equipment in conference rooms • Manage and monitor internal assets to ensure accurate inventory records
  • Other duties may be added and/or assigned as needed

Qualifications and Expectations:

  • Bachelor’s Degree or equivalent experience in lieu of degree
  • Must possess a strong work ethic and reputation for exhibiting teamwork in meeting job responsibilities and organizational goals
  • Must possess a high degree of energy, professionalism, and confidentiality
  • Highly proficient in Microsoft Word, Outlook, and Excel
  • Excellent communication and phone skills
  • Strong data entry skills and proficiency
  • Able to multi-task and provide excellent customer service
  • Exceptional organizational skills with meticulous attention to detail
  • Aptitude to quickly learn software programs and train others as needed
  • Ability to lift up to 50 pounds without reasonable assistance
  • Must be willing and able to frequently push, pull, kneel, bend and reach
  • Must have a valid driver license and reliable transportation
